Did you know that subs earn sick time in SDUSD? In talking with other subs, I’ve discovered that many of us don’t know that or how to make use of it.
It’s not hard, but learning the steps was a little complicated, so I’ve simplified them for you here with direct links instead of following steps through sandi.net .
Step 1: See if you’ve earned enough hours to qualify for one or more sick days
First, you’ll need to log into your personnel record to see your most recent pay stub to see if you have earned enough sick time to begin this process.
If your pay stub shows any amount over 8 hours, you’re entitled to claim an upcoming day when you can’t sub because you are sick, injured, or have a doctor’s appointment.
To see to your pay stub, go into Oracle PeopleSoft

2] Log in with your six-digit ID and password.
3] Do the Duo process, if prompted to
4] Click “Payroll & Compensation”. That should take you right to the latest stub.
5] Look at the bottom left box called “LEAVE BALANCES” and you should see how much Sick Time you’ve accrued under “Balance”.
If this doesn’t work for you, try to contact HR Payroll (payroll@sandi.net) for more up-to-date steps.
Once you know you have at least 8 hours accrued, on a day when you are sick, injured, or need to take the day off for a doctor’s appointment:, go on to step 2.

Step 2: See if there are any jobs available today to report that you cannot take because you’re ill
- log onto SubFinderExpress that morning
- see if there’s any jobs there
- if not, you can’t count that day as a sick day
- if there IS any job there, then decline the job with the reason “illness”, making a note to yourself of what school it was at, because you’ll need that information in step 3.
If you already know the night before that you’ll be too sick the next day, you can probably start looking for a job then rather than get up early, but I haven’t tested that.

Step 3: Request compensation for the job you just turned down.
• go to the form at https://tinyurl.com/subsickday
• Most of the fields are very obvious. The ones that aren’t as clear are:
— Put in “1 day, 8hours, 8hours-total” (or 2 days, 8 hours, 16hours-total, etc., if it’s a multiple day assignment)
— “Assignment Offered” = SLSVT
— You must enter the name of the school you clicked “Decline” on two steps ago
• save the form and send it to sub-illness-reporting@sandi.net
I recommend that you save a copy of this file on your computer with all the fields filled out EXCEPT the name of the school and the dates, since all the other fields will be the same every time.
That way, you’ll never have to download it or fill in those general fields again.
IMPORTANT NOTE: By current contract (as of 11/6/25), you can only claim a maximum of five days per school calendar, even if you have more than 40 hours accrued on record.
So if you have 40 hours or less, you can claim them all in this school year.
But if you see you have, say, 136 hours of sick time (which, divided by 8, equals 17 days), it’ll take you at least four school years to claim all of those hours.
